How do I set up the meeting notetaker?
Open Meetings, connect your Google Calendar, then add the notetaker to a meeting with a video link. Vai joins the call, records and transcribes it, and writes up a note you can open afterward.
The notetaker is Vai joining your video calls to record, transcribe, and write up what was said, so you can stay present in the meeting. This article covers connecting your calendar and adding the notetaker to a meeting.
Before you start
The notetaker reads your meetings from Google Calendar, so you connect that calendar first. Vai can join a meeting that has a video call link in its calendar event.
Set up the notetaker
- Open Meetings. Open the
Meetingspage from the sidebar. - Connect Google Calendar. Click
Connect Google Calendarand grant access. Your calendar events appear in the list, each with a status. - Add the notetaker. Find a meeting with a video link. Open its status menu and choose
Add notetaker. Its status changes toScheduled. - Let Vai join. At the meeting’s start time, Vai joins the call, records it, and transcribes it. When it finishes, a
View notebutton appears so you can open the write-up.
Reading the statuses
Each meeting shows where the notetaker stands. Notetaker off means Vai will not join, and you can add it. Scheduled means Vai is set to join, and you can choose Remove notetaker to call it off. After the call, the meeting shows whether the note is ready, and View note opens it.
You can link a meeting to a hub so its note lands with the rest of that project. After a meeting, you can also pick up the action items by asking Vai for your next steps. To learn what Vai does across Visualist, see What can Vai do?.
