Overview
When you connect your email account to Visualist, you can send and receive emails directly in a hub’s Message Center. Visualist keeps your project communication organized and threaded, while also syncing with your external inbox.
How email connections work
- Each hub can be connected to one email account.
- You can use different email accounts across different hubs (e.g. work@studio.com in one hub, hello@studio.com in another).
- Once you’ve connected an email account in one hub, Visualist stores that connection — and will prompt you in new hubs to reuse that account, or choose another.
Sending from Visualist
- Emails sent from the hub’s Message Center will:
- Deliver from your connected email address (e.g. Gmail, Outlook, Yahoo).
- Appear in your external inbox’s Sent folder.
- Be stored in the hub for a complete project record.
Replies and threading
- Client replies sync back into the same thread in Visualist.
- They also appear in your external inbox as usual.
What doesn’t sync automatically
- Emails you start directly in Gmail (or another inbox) will not appear in Visualist, even if you’ve connected that email.
Workaround: Forward into Visualist
- Forward the thread to your hub’s unique hub email address (found in your hub's settings).
- The thread will then appear in the Message Center.
- Future replies will continue syncing automatically.
When an email account is disconnected
- Existing emails in the hub remain visible and searchable.
- You'll no longer be able to send emails from Visualist or receive emails in Visualist.
- You can reconnect the same account or a different account at any time, but only new emails from that point will sync into the hub.
Best practice
- Start project-related emails in Visualist to ensure your hub holds the full record.
- If you manage multiple hubs, connect the email account that’s most relevant to each client/project.
- Forward in existing threads if you need them captured.
- Keep accounts connected for seamless threading and tracking.
