Creating a Concierge lets you replace static client intake questionnaires with an intelligent, conversational Q&A powered by Vai.
You can build one in minutes, defining its purpose, stage, and tone, and use it to onboard clients, gather feedback, or align on style direction.
What you can do when creating a Concierge
- Define the stage of your workflow (e.g., intake, check-in, wrap-up).
- Add a purpose to guide Vai’s approach and tone.
- Paste any messy notes — Vai will turn them into clear, client-friendly questions.
- Add optional “must ask” and “must avoid” questions to fine-tune the dialogue.
- Preview how Vai will sound before sending.

How to set one up
- Go to Concierge from your sidebar.
- Click Create Concierge — the setup modal will appear.
- Fill in the following fields:
- Stage: select where this fits in your workflow (e.g., onboarding, feedback).
- Purpose: describe what you want the conversation to achieve.
- Notes: paste rough thoughts or reminders. Vai will interpret them.
- Must ask / must avoid: tell Vai what to include or skip.
- Preview your Concierge and activate it when you're ready.
Common questions
- Can I duplicate an existing Concierge? Yes. You can duplicate any Concierge to adjust its questions or tone for a new project.
- What if I edit a Concierge after launching it? the same link will update automatically with your latest version. If you prefer to keep the current one live and make changes separately, duplicate the Concierge first.
- Can I see what clients will experience? Yes. Use the Preview option to test the full dialogue before sharing.
