Concierge replaces traditional client intake questionnaires with an intelligent, conversational Q&A powered by Vai.

Instead of sending static forms, you can use Concierge to gather insights, preferences, and feedback through a natural dialogue that adapts to each client’s responses.

Available to Core and Growth users, Concierge helps you onboard clients faster and with more depth.

What you can do with Concierge

  • Create personalized onboarding or feedback conversations in minutes.
  • Launch Concierges directly from your dashboard or any project hub.
  • Automatically collect and summarize client responses for easy review.
  • Send Concierge links via email or share them directly.
  • Reuse, duplicate, or tailor Concierges for different stages of your workflow.

How it works

  1. Go to Concierge from the main sidebar.
  2. Click Create Concierge, choose a stage and set a purpose. Add any notes you have, and tell Vai what it must ask or avoid.
  3. Share the link with your client. Vai handles the rest—asking, clarifying, and summarizing responses in real time.

Common questions

  • Can I customize the tone? Concierge is designed to sound like a warm, attentive assistant — polite, professional, and never robotic. You don’t need to set a tone manually: Vai learns from your professional profile and project context to match your communication style. It adapts phrasing based on the Concierge’s stage (for example, friendly and exploratory for onboarding, or structured and reflective for wrap-up).
  • Do clients need a Visualist account? No. They can reply directly through the shared Concierge link.
