Collaborate with confidence

Every guest in Visualist has a role: Editor, Commenter, or Viewer. Roles control what someone can see or do in your hubs, folders, and files. Permissions can be set at different levels and cascade downward unless you apply an override.

Permission levels explained

  • Editor → Add, edit, and delete hubs, folders, and files. Can also adjust other users’ roles.
  • Commenter → View hubs, folders, and files and leave comments (sticky notes on visuals; inline comments for docs coming soon). Cannot add, edit, or delete.
  • Viewer → View only. No editing or commenting.

  • Interior designers: Share proposals with contractors as Viewers, while teammates collaborate as Editors.
  • Wedding & event planners: Let clients’ family members view progress while vendors comment directly on shared documents.

Granular permission overrides

  • Permissions assigned at the hub level cascade to all folders and files, unless overridden.
  • You can upgrade or downgrade access at the folder or file level.
  • File-level permissions always take precedence over folder- or hub-level.
  • You can also remove a guest entirely from a specific folder or file.

Ownership rules

  • Every hub, folder, and file must always have an owner.
  • Owners cannot remove themselves unless they transfer ownership to another Editor (coming soon).

 Common questions

  • What if permissions conflict? The more specific rule (lower-level) always applies. For example, if someone is a Viewer in a hub, but you've made them an Editor at the folder level, they will be able to edit items in that folder, including creating sub-folders and files in that folder.
  • Can I downgrade another Editor? Yes — if you’re also an Editor.
  • Can I invite people to independent folders outside hubs? No, those stay private to the creator.

 Tip

  • To keep folders or files private to you, you can remove guests from that folder/file.
